Artificial Intelligence Use Policy

This Artificial Intelligence Use Policy (the "AI Policy") describes how Pinnacle Solutions Group LLC, doing business as SchoolLife ("SchoolLife," "we" or "us"), uses artificial intelligence ("AI") within the SchoolLife platform (the "Service"), how district and student data is protected when AI features are used, and the controls available to each school district. This AI Policy supplements our Privacy Policy, our Terms of Service and any Data Privacy Agreement signed with a district. If this AI Policy conflicts with a signed Data Privacy Agreement, the Data Privacy Agreement controls.
1. Our Principles
- The district decides. AI features are optional. Each district decides whether they are turned on and which staff may use them, and may turn them off at any time.
- Staff only. SchoolScout and other AI features are available only to district staff and administrators. They are not available to students or parents.
- People make the decisions. AI features support staff in their work. They do not make decisions about students.
- District data is not used to train AI. We do not use district data, including student data, prompts or responses, to train or improve AI models, and we do not permit our providers to do so.
- The same protections apply. AI features follow the same role-based access controls, privacy commitments and contractual obligations as the rest of the Service.
2. Where AI Is Used in SchoolLife

AI features are not available to student or parent accounts, and no student or parent user can turn them on.
3. District Controls
- District AI setting. A single setting in the Admin Console turns off SchoolScout and every AI feature across the Service. All other features continue to work normally.
- Role controls. The district chooses which staff roles may use AI features and may set monthly limits for individual users.
- Usage allowance. AI features draw on a usage allowance that the district controls. When the allowance is used up, AI features pause until the district adds more. AI use never results in unexpected charges.
- Activity records. The district can see which users used AI features and when.
4. How Data Is Protected
Hosting. AI features run through Amazon Bedrock within Amazon Web Services ("AWS"), the same cloud environment that hosts the Service, and data is processed in the United States. Amazon Web Services is listed on our sub-processor list.
No training and no sharing with model providers. Prompts and responses are not used to train or improve the underlying AI models and are not shared with the companies that develop those models.
Student information is minimized. Before a request is sent to an AI model, student names and other direct identifiers are removed or masked wherever the feature does not require them.
Access controls carry through. AI output follows the same role-based permissions as the rest of the Service. An AI summary, answer or insight will not show a staff member information from a record that the staff member's role is not permitted to see.
Content safeguards. Filters are applied to block unsafe or inappropriate content in requests and responses.
Retention and deletion. We keep AI prompts and responses only as long as needed to provide the feature and to maintain the district's activity records. They are subject to the same return and deletion terms as all other district data under the district's Data Privacy Agreement.
5. Human Review and Accuracy
- AI output can be incomplete or inaccurate. Staff should review AI output before relying on it or sharing it.
- SchoolScout's answers about laws and regulations are general information, not legal advice. Staff should confirm important requirements with district counsel or the appropriate state agency.
- Staff should review translations and extracted form data before they are sent or saved.
- AI features are not used to make decisions about grading, discipline, placement, program eligibility, special education services or any other matter with a significant effect on a student. Those decisions remain with district staff.
6. What We Do Not Do
- We do not sell district or student data, and we do not use it for advertising.
- We do not use district or student data to train AI models.
- We do not use AI to build profiles of students for any purpose other than the educational purpose the district authorizes.
- We do not use AI for facial recognition, biometric identification or emotion detection.
- We do not offer AI features to students or parents.
7. Responsible Use by Staff
Staff using AI features should enter only the information the task requires, should not enter health, special education or other sensitive student information into SchoolScout, and should follow the district's own acceptable use and AI policies.
8. Compliance
Our use of AI is subject to the Family Educational Rights and Privacy Act, the Children's Online Privacy Protection Act, applicable state student privacy law, and each district's Data Privacy Agreement.
9. Changes to This Policy
We will notify districts in advance before adding an AI feature that processes student data or changing the provider through which AI features are delivered. New AI features follow the district AI setting. We will post any update to this AI Policy with a revised effective date.
